Job Description
They are looking for someone that will be responsible for the day-to-day office support at their head office in Milton Park, including reception duties, facility support, and travel booking. As the office administrator, you will be the first point of contact for their company.
This is a new part-time opportunity, working 5 hours a day/25 hours per week. It will be a busy hands-on role, requiring the ability to prioritise tasks to meet business requirements. There will be scope to develop within the role.
Your Key Responsibilities
Office Management
- Responsible for the day-to-day support of the Milton Park office – be the first point of contact and manage all routine office related matters including office contracts in relation to cleaning, health & safety, and maintenance requirements
- Managing reception duties at Milton Park office, including answering of the main company telephone line, general email account, receiving deliveries and dealing with any post
- Co-ordinating meeting arrangements for customer/internal meetings including meeting room setup, meet & greet visitors, organisation of refreshments etc
- Managing the day-to-day procurement requirements of the Milton Park office e.g. office refreshments, stationery
- Ensuring the kitchen is kept clean and tidy, replenishing refreshments offered to staff, loading/unloading dishwashers, descaling coffee machine
- Ensuring facilities records are kept up to date including PAT testing, cleaning, emergency lighting etc, to ensure HSE regulations are met
- Provide support to the HR Advisor on recruitment activities as and when required
- Act as the Fire Marshall for the Milton Park office, keeping the Evacuation Log up to date
- Undertake other reasonable tasks that are assigned to you to support the daily operation of the Milton Park office.
Travel
- To make travel bookings in line with the travel and expense policy, and to manage the relationship with the Company’s 3rd party travel agency
- To implement improvements to the Company’s travel management system as required.
Health & Safety
- Perform monthly health & safety inspections at the Milton Park office
- Maintain the accident book and first aid boxes
- Review and update the Milton Park office risk and fire assessments as and when required.
Employee Engagement
- Assisting with the arrangements for any events or celebration bookings e.g. UK staff Christmas or Summer parities
- Organising internal staff gifts e.g. staff special events, birth of a child.
Key Skills and Experience
Essential
- Experience of working as an Office Administrator in a small to medium size company
- Excellent communication and interpersonal skills with customers and colleagues alike
- Good literacy and numeracy skills
- High level of accuracy and attention to detail
- Highly organised with good multitasking and time-management skills, with the ability to prioritise tasks
- Good level of IT literacy.
Desirable
- Experience of facilities management.

Salary – £26-30k pro rata, depending on experience
This role is office based at our Milton Park office, working 5 hours a day/25 hours per week.
